Question:

How do we add an appointment for a call-in client.

Answer:

UPDATE AUGUST 2008

Owners and managers can now associate a name and phone number with a call-in appointment and have that name displayed in the appointment book.

Names can be up to 10 characters in length and spaces will be removed. Clients do not have access to this function.

There are two ways to record a callin appointment. Note that this is not required for clients who have their own membership. Those clients will be booking their own appointments.


Method 1:

First, the owner can book the appointment for the callin client using their own membership. That time slot will be reserved in the appointment book. The information you will not have is their name and phone number because it has been reserved using your business membership.

To complement this method you can insert their name and phone number into the appointment notes. The form for adding and editing appointment notes is located on the appointment confirmation page and it is only visible to the owner and any assigned managers.

Method 2:

The second option is to create a client membership for each callin client and simply log into the system using that membership. The free webmail service at beautybyus.net will provide you with access to unlimited e-mail accounts which you can then use to create a membership for each offline client.

This second method requires that you keep a master record of each client's username and password for both their e-mail account and BBU membership. You can also present that membership information to the client in the future should they ever want to begin booking their own appointments.

Logging in as a client is easy and requires only a few clicks to reopen the appointment book. Creating an account for each offline client will also provide the owner with a complete history of each client, as well as other useful aggregate data.
